About the vacancy

    Supporting the following Centres for Doctoral Training:

    UKRI AI CDT in Designing Responsible and Trustworthy in-the-world Natural Language Processing;
    EPSRC CDT in Machine Learning Systems;
    UKRI AI CDT in Dependable and Deployable Artificial Intelligence for Robotics (joint with Heriot Watt University).
    These programmes will recruit and support 5 cohorts of doctoral students and train the next generation of AI and Machine Learning leaders. We are looking for two confident self-starters with a passion for delivering excellent service and support, a keen attention to detail and a demonstrated ability to work as part of a team.

Key Responsibilities

    CDT operational support & administration: Provide front-line support to all CDT staff, students & applicants. Liaise with different departments & doctoral programmes to facilitate collaboration & joint events.
    Meeting & event organisation: Provide secretarial & administrative support to organisation of relevant events and meetings
    Student training: Provide operational support to the Centre’s training programme. Assist the Training Leads with practical arrangements for CDT-specific taught courses, masterclasses etc
    Finance & record keeping: Advise on research costs/processes, process expenses/requisitions, monitor student research training support budgets, organise conference travel/accommodation for CDT staff
    Student recruitment and induction: Support annual student recruitment & induction lifecycle
    Communications and reporting: Contribute to development & execution of the CDT communications plan
    Other duties as outlined by CDT Manager/ Informatics Graduate School Mana

Key Competencies

    School education to standard grade or equivalent plus a minimum of 3 years’ relevant work experience, with evidence of strong numeracy skills.
    Good working knowledge of Microsoft Word, Excel and SharePoint and experience of interrogating and updating specialist databases, with high attention to detail.
    Strong communication and interpersonal skills, including written and verbal communication. Flexible attitude and experience in customer service.
    Significant experience of working in a busy administrative office, ideally in an HE environment, with proven ability to take initiative and proactively manage competing job demands.
    Experience of committee servicing / minute taking and event management.
    Experience in interpreting, applying and advising on complex institutional policies and procedures, preferably in the following areas: purchasing, expenses, student recruitment, on-course student support.

Desired Qualifications

    Educated to degree level
    Experience of working in higher education
    Working knowledge of social media and digital marketing tools
    Experience with graphic design tools
    Working knowledge of student systems and research output systems, for example EUCLID, Je-S
